RESOURCES BOOKING

Corporate resource reservation* allows you to efficiently manage resource usage and availability within a company, and to simplify this process, IntellyScan offers an integrated access control solution.

The IntellyScan booking module allows users to easily book needed resources, such as meeting rooms, equipment, company vehicles and other shared resources and with an intuitive and user-friendly interface, users can view real-time availability, select desired resources and make reservations in a few simple steps.

The booking process can be operated either via the web for registered users and visitors or via the IntellyAccess application for registered users only.

Via the web it is very simple: visitors can consult the page with "public" type reservations by viewing on the portal only the resources* made public by the company administrator while registered users, after logging in, will be able to consult the page with reservations of the "private" type, displaying on the portal only the resources* made private by the company administrator.

By selecting the resource of interest it will be possible to access the booking details which will allow the user to choose the desired date for use and the preferred time slot by viewing them among those available depending on availability and bookings already received.

In order to complete the booking, visitors will be asked to enter their personal data, such as name, surname, email address and this information will be used to send the booking confirmation, to contact visitors (if necessary) and for registration at inside the IntellyScan access control solution.

Based on the settings configured by the company, visitors may be asked to pay by entering further details that can be used for tax purposes: after selecting the entry options, verifying the booking details and accepting the information on the processing of personal data , users will be directed to the payment page (if requested).

It will be possible to make the payment using one of the accepted payment methods such as credit cards or online payment services and once the payment is completed, the system will send a booking confirmation via email with the details and the relevant access codes (QR code and PIN code) necessary for use.

Upon use, visitors will be able to:

• Manually validate your reservation by presenting the printout of the confirmation email with the access QR code to the staff at the entrance or a digital version viewable on their mobile device to allow verification of the resource reservation and use;
• Automatically validate your reservation by selecting the icon with the specific "booking entry" function on a tablet positioned near the resource and selecting either scanning the QR code or entering the access PIN received via email to allow the system to verification of the reservation and the user the use of the resource by opening the access door or turnstile if present or activating a compatible intelligent relay to manage its switching on, activation and power supply.
• Automatically validate your reservation in front of a QR code printed near the resource by scanning the resource QR code with your smartphone, via the IntellyAccess application, which will allow you to enter your access PIN (received via email) directly from your smartphone to allow the system checks the reservation and allows the user to use the resource by opening the access door or turnstile if present or activating a compatible intelligent relay to manage its switching on, activation and power supply.

With Intellyscan's resource booking module, users can view a complete and detailed list of available company resources, with descriptions, images and other useful information to facilitate their choice.

The system will send automatic notifications to users to confirm reservations made and administrators will be able to view and manage all reservations received, make changes, cancel reservations and resolve any availability conflicts.

For registered users, the booking form is also accessible from mobile devices via the application and IntellyAccess, allowing registered users to make reservations quickly while also inviting other colleagues for shared use.
